Integration Handover Checklist: From Build to Reliable Operation

An integration is ready for handover when the operating team can recognize a normal run, investigate an abnormal one and recover safely using documented instructions.

Document the interface contract

Include source and target systems, business purpose, record grain, identifiers, field definitions, delivery format, frequency and expected volume. Describe dependencies and the point at which the business process is considered complete.

Name the owners

Record who owns the source, integration, target configuration and business reconciliation. Add an escalation path and a backup contact. Agree coverage separately; an undocumented expectation of round-the-clock support is not an operating model.

Explain monitoring

Show where the run status is visible, what signals success and what conditions need attention. Include a missing-file scenario as well as a failed-job scenario: a process that never starts can be just as consequential as one that errors.

Make recovery safe

Document prerequisites for rerunning a job. Explain how duplicate processing is prevented, which partial outputs may exist and who approves corrections. Include the stop condition when the operator should escalate rather than retry.

Keep access details out of the runbook

Describe the approved credential-management process and access owners. Do not paste passwords, tokens or private keys into operational instructions. The operator should know where authorized access is managed.

Rehearse three scenarios

  1. A normal run with completed reconciliation.
  2. A failed or incomplete run requiring investigation.
  3. A corrected input requiring approved reprocessing.

Ask the receiving team to walk through the procedure. Any step that depends on undocumented developer knowledge becomes a handover action.

Minimum handover pack

  • Interface specification and mappings.
  • Deployment inventory and dependency diagram.
  • Monitoring and reconciliation instructions.
  • Recovery, escalation and change procedures.
  • Test evidence, known limitations and outstanding issues.
  • Named acceptance and support owners.
